Position Description

This position is responsible for providing efficient and professional administrative support to the Materials and Surface Technology Director as well as other department managers of Materials Development, Materials Modeling and Characterization, Materials Interfaces and Surface Engineering, Casting Technology and Colloidal Science and Ceramics. Another key component of this position is to team with other Support personnel to ensure an efficiently managed office environment across the site.

Major Activities / Key Challenges:

  • Coordinate and facilitate overall administrative activities in order to ensure adequate coverage of and response to Arcconic corporate administrative needs.

  • Independently organize and complete multiple projects to meet customers' expectations and imposed deadlines.

  • Provide assistance with organizing and participate in M&ST lead team meetings, directorate meetings, division meetings and events as needed.

  • Work with other administrative professionals within Arconic to arrange senior management level meetings including with EVPs, BUPs, and other business leaders

  • Lead purchasing (PO and LVP) for the directorate with direct responsibility for entering, tracking and maintaining all purchase orders and invoices to ensure proper accounting in a timely manner

  • Provide assistance with travel arrangements and arranging meetings/tours/conferences, both domestic and international, when needed.

  • Ensure that administrative processes are fulfilled in a high-quality and efficient manner (submit purchase orders, work requests, expense reports, eContracts, on behalf of division members where applicable.

  • Within the realm of responsibility, act as spokesperson for M&ST Technology Director and department managers and other customers.

  • Coordination and logistics of people, offices, computers and other office equipment

  • EHS participation including HP daily meetings. Maintenance of bulletin boards and sign in/out boards

  • Possess reasoned judgment and excellent interpersonal skills to make decisions and interact successfully with all customers.

  • Uses advanced computer skills in (Word, Excel, PowerPoint,, Sharepoint, Daptiv, etc) to develop spreadsheets, graphs and convey information effectively across a wide range of task including daily/weekly reports, meeting agendas, PO tracking, Sharepoint access, and project administration.

  • Assists in capital, project and operating budget preparation, tracks monthly progress, flags discrepancies and resolves with proper organization.

  • Has accountability for a few projects or processes.

  • Planning activities of a work group/short-term projects including objectives, timelines, resources and timing required

  • Exhibits capability and positive leadership skills especially in a team environment.

  • Serves as the go-to person for Directorate and bldg. issues

  • Discuss and coach team members on Discovery Insights, and other HR related functions

Basic Qualifications

  • Bachelors Degree from an accredited college or university and/or 5 years executive level administrative responsibilities or operational support functions.

  • Employees must be legally authorized to work in the United States. Verification of employment eligibility will be required at the time of hire. Visa sponsorship is not available for this position.

  • This position is subject to the International Traffic in Arms Regulations (ITAR) which requires U.S. person status. ITAR defines U.S. person as an U.S. Citizen, U.S. Permanent Resident (i.e. 'Green Card Holder'), Political Asylee, or Refugee.

  • No relocation benefit is offered for this position.
